Compare every levelYou send the data. I build the system and run it.
Powerful system. Managed for you. Retaain runs the audit and everything after it. Nothing here is yours to configure or operate.
Your part
- The customer, order and email data you already have
- Access to your email platform
- Your approvals
- A monthly review with me, up to two hours
My part
I audit your data, build the system, write and run the retention emails and campaigns, and tell your team which accounts need a person.
Guarantee
Live in 30 days, or your first month is on me.
I want you live fast, so we can start fixing what’s being missed. Once I have usable data, access to your email platform and your approvals, the launch work we agreed goes live within 30 days. If it doesn’t, and the delay is on my side, your first month is free.
KaneFounder, Retaain
Day 0
Usable data, access and approvals
The 30 days start here.
Week 1
Your data in
You send the export. I audit it, clean up what needs cleaning and organise the customer base.
Week 2
Every account read
Accounts with enough order history get their own buying normal. Accounts without enough history are identified separately rather than guessed.
Week 4
Emails live
Reorder and win-back emails go live in your name, inside the platform you already use.
Day 30
First review
We sit down with what changed, what I handled and which accounts your reps should call.
Day 90
Running and tuned
The whole system is running, campaigns included, and tuned to how your accounts actually buy.
Ongoing tuning, outside the guarantee

Why wouldn’t you just have someone on your team do this?
You might, and for some businesses that’s the right answer. Here is how the realistic options compare.
| Option | What it does well | What it tends to leave |
|---|---|---|
| Wait for customers to reorder | Costs nothing, and most good accounts do come back on their own. | You find out an account has drifted when the quarter’s numbers come in. |
| Ask your reps to follow up more | Your reps know the relationships better than anyone. | Their time goes to the accounts that ask for it. A quiet account doesn’t ask. |
| Have someone on your team do it | The right answer if you already have the data, writing and email skills in-house. | It needs a monthly discipline that survives your busiest months, and one person owning it. |
| Hire an email agency | A good agency can plan, write and send campaigns well. | Ask whether it reads each account’s buying and works around your reps’ conversations. That is the part Retaain is built on. |
| Lean on CRM reports and email software | The data and the tools are often already there. | Someone still has to read them every month, decide what happens and make sure it does. |
One person reading every account, deciding the right move and making sure it happens.
- Purchasing intelligence
- Retention strategy
- Managed email
- Rep coordination
- One founder accountable
The questions wholesalers ask before the first call.
What am I actually paying for?
A managed retention function, not an email package: the Reorder Engine that reads your accounts and decides what needs attention, the retention automations and campaigns, the monthly review and strategy with me, and the work of running all of it. The plan sets how deeply that work runs across your customer base.
How is Retaain different from an email agency or a CRM?
Plenty of agencies and CRMs do parts of this. The difference is that it’s one job, run for you: Retaain picks out the accounts whose buying has changed, I review what it finds and decide whether each one needs an email, a call or nothing yet, and I manage the email programme. Your team keeps the relationships, and there’s nothing for you to operate.
How do you decide which plan is right for us?
I look at your customer base, not the size of the business. If you need every account read and the core retention emails running, Foundation. If you also need to know which accounts matter most, Growth. If reps, territories or brands shape how customers are managed, Partner. I confirm it with you on the call.
Why does campaign capacity differ between plans?
Larger and more complex customer bases give me more worth acting on. Capacity is room to act when the data gives me a reason, not a campaign quota.
Won’t our customers get too many emails?
They shouldn’t, because volume isn’t the goal. Most retention emails go out because of what an account does, like a first order or a reorder running later than usual, so they reach the accounts they’re relevant to. Campaigns are planned with you each month, within your plan’s capacity. An account your rep is already working is handled with your sales team rather than treated as an ordinary retention opportunity, and a sensitive account can be kept out of automated retention email altogether. If there’s an account you’d rather I held back, tell me before the send and I’ll hold it where the timing allows.
Do we need multiple customer segments?
No. I group customers by type only where it explains how they buy. Otherwise I work from order history, buying rhythm, account value and current movement.
Do you replace our sales reps?
No. Routine retention work runs consistently, and the accounts that warrant a conversation go to your team, with what changed and why. On Foundation, they are highlighted in your monthly review. Your reps keep the relationships.
Do we need a new email platform?
No. Retaain works inside the email platform already in use.
Do you need access to our ERP?
No. Customer and order data is exported and supplied to Retaain. Direct ERP, accounting or B2B-portal access is not required.
Do we need to learn another dashboard?
No. This is a managed service, not software you log into. Retaain brings you the accounts that moved and what should happen next. I run the retention emails and tell your team which accounts need a person.
Are you guaranteeing revenue?
No. I build and run the retention system and report honestly on what moves inside your customer base. The one thing I guarantee is the launch timeline I control.
What if it isn’t live in 30 days?
Then month one is free, as long as the delay is on my side. The 30 days start once I have usable data, access to your email platform and the approvals I need. From there, the agreed launch work goes live: the audit, the first read of your accounts, and your first reorder and win-back emails. That’s the part I control, so that’s the part I guarantee. I don’t guarantee revenue or sales results, and I’d be wary of anyone who does.
What happens if we stop?
After the three-month initial engagement, it runs month to month, and you can end it with 30 days’ written notice. Your customer data stays yours, and so do the deliverables we agreed. Retaain’s own software, tools and methods stay with Retaain. What stays in your email platform depends on who owns and licenses it, as set out in our agreement.
Can I see what you’d find before I commit?
Yes. Ask for your Reorder List: one customer and order export, and within five working days of a usable export arriving I’ll name the good accounts that should have reordered by now, with what I’d do about each. It’s free, and you keep it either way.
Not sure which level fits? That’s what the call is for.
